Executive Assistant to the President and CEO
New York

Americas Society and Council of the Americas (AS/COA) are sister organizations providing the most trusted forum for debate on issues affecting the Western Hemisphere. Headquartered in New York City, AS/COA also has offices in Washington and Miami and holds high-level events across the United States and Latin America.

AS/COA seeks a seasoned executive assistant to provide administrative and direct professional support for the president and CEO in a wide variety of responsibilities and projects.

Responsibilities:

  • Manage the president & CEO’s calendar: set up internal and external meetings, add any information about programs and activities, and work with teams to find availability for programs. 
  • Manage AS/COA board and CIAC quarterly meetings, contact information, yearly contributions, and related documents. 
  • Keep president and CEO’s contacts updated in Outlook and Fonteva. 
  • Record president & CEO’s monthly expenses and submit reports. 
  • Arrange, plan, and coordinate president & CEO’s travel arrangements and logistics involved. 
  • Work on president and CEO’s office projects as directed: special dinners, annual fundraisers, staff events, and others. 
  • Sort correspondence and respond if appropriate.

Qualifications:

  • Bachelor’s degree a plus. 
  • Proven experience of 5+ years as an executive assistant, administrative assistant, or in a similar role supporting high-level executives. 
  • Proficiency in Microsoft Office Suite. 
  • Familiarity with Salesforce’s Fonteva software preferred. 
  • Experience with calendar management and scheduling software. 
  • Ability to use collaboration tools (Zoom, Microsoft Teams). 
  • Strong interest and background in the Americas a plus. 
  • Bilingual proficiency in Spanish required. Portuguese a plus. 
  • Exceptional organizational skills and attention to detail. 
  • Ability to prioritize and manage time effectively. 
  • Strong multitasking abilities to handle multiple projects simultaneously.
  • Professional demeanor with the ability to interact comfortably with colleagues and high-level individuals, such as board members and government officials. 
  • Ability to act with professionalism and confidentiality. 
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills to build and maintain relationships.

This is a full-time position. Employees are currently working a hybrid schedule each week. 

The salary range for this position is $70k–$80k. In addition, AS/COA offers outstanding benefits including an excellent health and dental plan, vacation, and a generous 401(k) retirement plan.
